In practice

Who it is for, and what setup involves

Starting mid-session, which is when most schools start

Almost nobody adopts a school system in the first week of a session. Schools start when something has broken: usually fee collection, sometimes examinations. So starting mid-session is the normal case rather than the exception.

What that requires is opening fee balances agreed as at the start date, the current student list with class and section, and your fee structure. History is added only where it is needed, typically for students approaching a leaving certificate who will need a record of previous years.

The two documents parents judge you on

A fee voucher and a result card. Most parents never see any other part of a school system, which is why both print in your school's own format and in the language the family actually reads. A result card that arrives in a generic template with the school name typed into a field reads as exactly that.

What the office stops doing

Compiling a defaulter list by hand. Retyping certificates. Answering "how much do we owe" by looking through a register while a parent waits at a window. Telling a class teacher which children are siblings so the discount gets applied.

None of those are dramatic individually. Together they are most of what a school office spends a term on.

Your own staff, on the same platform

A school is also an employer, with income tax on the salary slabs, EOBI, provident fund and gratuity to run for its teachers. The usual arrangement is a school system plus a separate payroll spreadsheet, which is why staff records and payroll disagree. Running both here means one set of employee records and one login.

What it costs

PKR 1,000 a month for up to 200 students, or PKR 10,000 for the year. Above that, quoted on the same per-student basis.

Campus transfer
Moving a student between campuses of the same school, preserving their history rather than creating a second record.
Defaulter list
The list of students with fees outstanding, produced from the current ledger so it is accurate on the day it is printed.
Result card
The printed record of a student examination result, generated from the record in the school format and in Urdu or English.
Leaving certificate
The document issued when a student leaves, generated from their preserved record rather than retyped from a register.
